Reporting to the Head of Financials Operations, we are seeking an experienced, hands-on, detail-oriented and customer service oriented payroll and stock administration professional to join our growing team.  As the first hire in this role, you will be accountable for all payroll and stock administration activities, including and not limited to: evaluating and implementing a new payroll system, processing payroll twice a month for exempt and nonexempt employees, ensuring timely filing of all quarterly and annual tax forms, recording all payroll activity in the general ledger, maintaining timely and accurate stock administration transactions, and reviewing and approving employee expense reports.   The successful candidate will partner with the Accounting & Finance Team and regularly interact with HR while supporting all departments in the Company.  Further, you will help implement “best in class” payroll policies and tools to streamline and support our rapid company growth.  

Your primary duties will be:


  • Prepare and process semi-monthly, multi-state payroll for exempt and nonexempt employees on a timely basis 
  • Partner with HR to ensure all payroll and elected benefit additions and changes are accurately calculated and timely processed  
  • Manage the time-tracking system to ensure timesheets are accurate, submitted and approved timely
  • Maintain the 401K program and ensure timely transaction of election changes and processing of payment each pay period
  • Ensure payroll is compliant with all current federal and state laws
  • Process payroll tax credits as applicable
  • Record all payroll journal entries and prepare reconciliations 
  • Calculate and prepare bonus accrual and bonus payout journal entries and reconciliations
  • Ensure proper reporting on quarterly Form 941s 
  • Prepare and ensure timely distribution of annual W-2s
  • Assist with all payroll related audits including workers' compensation, 401K and financial
  • Support payroll system implementation requirements, workflow design, user acceptance testing, training, go-live execution
  • Assist with implementing and maintaining payroll policies and procedures
  • Train employees on payroll and payroll related systems as needed
  • Partner with Accounting and Finance Team on close process and audit preparation  
  • When applicable, hire and mentor a team to support company growth
  • Participate in special projects and perform other related duties as assigned

Stock Administration

  • Ensure timely entry and accuracy of all stock administration activity (grants, exercise, cancellations)
  • Record stock transactions in payroll as needed
  • Prepare annual Form 3921s and 1099 for stock option exercises if applicable

Expense Reports

  • Ensure new users or changes are properly updated in Oracle Cloud Expense module
  • Audit employee expense reports against Company Travel and Expense Policy
  • Train employees on expense reporting system as needed

About You

  • Bachelor degree in Business, Finance, Accounting or related field  
  • 5+ years of relevant work experience preferably in biotech or technology
  • Certified Payroll Professional preferred
  • Full cycle payroll experience required
  • Experience with Oracle Cloud preferred
  • Experience using ADP or similar payroll system 
  • Experience using Carta or similar equity administration system
  • Excellent customer service skills internally and externally
  • Sensitivity with confidential information
  • Strong Excel skills and ability to work in G-Suite
  • Organized and strong attention to detail with an ability to simultaneously research discrepancies and solve problems
  • Effective communicator with good verbal and written communication skills
  • Excellent project management skills and the ability to collaborate with cross-functional leaders and team members at all levels
  • Excellent teamwork and collaboration with others
  • Ability to work independently with general direction and guidance 
  • Ability to prioritize and multitask in an ever changing environment
